3.01 Duties of the Senator
3.01.01 The Senator shall:
(a) be a voting member of Council and is required to attend all Council meetings,
(b) attend all meetings of the University Senate,
(c) attend the annual meeting of the University Council,
(d) attend all meetings of the Student Senate Caucus,
(e) consult the Association and the Council on matters pertaining to the Senate, but shall represent and act in the best interests of the University as a whole,
(f) report to the Council on the discussions and decisions of the Senate and its committees,
(g) maintain ties with the ESS President regarding developments on Senate
(h) serve on a minimum of one (1) Senate Committee, as prescribed by the Senate Nominating Committee and the Secretary of the Senate.
3.02 Duties of the Representative(s) to the AMS
3.02.01 The Representative(s) to the AMS shall:
(a) be a voting member(s) of Council and is (are) required to attend all Council meetings,
(b) be a position held by a number of members of the Association determined by AMS policy and in consultation with the AMS Secretariat,
i) A maximum of two (2) representatives shall be elected in the regular Association elections in the winter term, including the President.
ii) The remaining representative(s) shall be elected in September once enrolment numbers are confirmed by the Office of the Registrar.
iii) One representative elected in September shall be a first year member of the Association.
(c) represent the Association on AMS Assembly as voting member(s),
(d) be encouraged to sit on an AMS sub-committee,
(e) report to Council about all important information discussed at AMS Assembly,
(f) be responsible for finding innovative means to gather student input to represent at AMS assembly through surveys (sent through Year Reps’ weekly updates, or through the Listserv by the Executive Administrator), discussion periods at CESA meetings, holding forums, etc.
3.03 Duties of the First Year Representatives
3.03.01 The First Year Representatives shall:
(a) be voting members of Council and are required to attend all Council meetings,
(b) be a position held by two Association members, elected in September in their first year,
(c) update first year students on upcoming events and information discussed at meetings of the Council, as well as other pertinent announcements, by serving as the PROF Class Reps if they are taking PROF Class at the time.
i) Notwithstanding article 3.03.01 c), the First Year Reps will work with Vice President (Internal) to appoint a PROF Class Rep to each remaining PROF 110 class.
ii) This appointment shall be at the discretion of First Year Reps and Vice President (Internal), but shall favour students not currently involved in CESA Council or Extended Council.
(d) be an active voice for their year to the Association,
(e) act as a resource to all of the members of their year,
(f) be responsible for the selection of a slogan for a year jacket bar, which needs to be completed by the first week of the winter semester and reported to the Merchandise Coordinator,
(g) host two (2) year-specific events in the fall semester and three (3) in the winter semester, which shall cater to diverse social interests.
(h) organize one (1) fundraising event during the winter semester that would go towards their year’s B.Edder4U gift, which can serve as one year specific event.
i) this fundraising event shall also raise awareness about the B.Edder4U initiative.
3.04 Duties of the Second Year Representatives
3.04.01 The Second Year Representatives shall:
(a) be voting members of Council and are required to attend all Council meetings,
(b) be a position held by two Association members in their second year,
(c) update second year students on upcoming events and information discussed at meetings of the Council, as well as other pertinent announcements, by serving as the PROF Class Reps if they are taking PROF Class at the time.
i) Notwithstanding article 3.04.01 c), the Second Year Reps will work with Vice President (Internal) to appoint a PROF Class Rep to each remaining PROF 210 class.
ii) This appointment shall be at the discretion of Second Year Reps and Vice President (Internal), but shall favour students not currently involved in CESA Council or Extended Council.
(d) be an active voice for their year to the Association,
(e) act as a resource to all of the members of their year,
(f) in conjunction with the Vice President (Internal), organize the Con-Ed Buddy Picnic and encourage continued contact between the buddies throughout the year,
(g) create an open forum (e.g. a Facebook group) for the next year’s incoming first year students before the end of May, and moderate the forum until such time as the First Year Representatives are elected,
(h) host three (3) year-specific events per semester, which shall cater to diverse social interests.
(i) organize one (1) fundraising event during the winter semester that would go towards their year’s B.Edder4U gift, which can serve as one year specific event.
i) this fundraising event shall also raise awareness about the B.Edder4U initiative.
3.05 Duties of the Third Year Representatives
3.05.01 The Third Year Representatives shall:
(a) be voting members of Council and are required to attend all Council meetings,
(b) be a position held by two Association members in their third year,
(c) update third year students on upcoming events and information discussed at meetings of the Council, as well as other pertinent announcements, by serving as the PROF Class Reps if they are taking PROF Class at the time.
i) Notwithstanding article 3.05.01 c), the Third Year Reps will work with Vice President (Internal) to appoint a PROF Class Rep to each remaining PROF 310 class.
ii) This appointment shall be at the discretion of Third Year Reps and Vice President (Internal), but shall favour students not currently involved in CESA Council or Extended Council.
(d) be an active voice for their year to the Association,
(e) act as a resource to all of the members of their year,
(f) coordinate all Con-Ed Clothing orders by the conclusion of Fall term,
i) The selection of Con-Ed Clothing will be determined along with the Merchandise Coordinator,
ii) Any profit from these sales shall go towards their year’s B.Edder4U gift.
iii) At the discretion of the Treasurer and Vice President (Internal), up to 10% of the profits of these sales can be used for Year Representative events.
(g) organize one (1) fundraising event during the fall semester that would go towards their years B.Edder4U gift,
(h) host three (3) year-specific events per semester, which shall cater to diverse social interests.
(i) organize one (1) fundraising event during the winter semester that would go towards their year’s B.Edder4U gift, which can serve as one year specific event.
i) this fundraising event shall also raise awareness about the B.Edder4U initiative.
3.06 Duties of the Fourth Year Representatives
3.06.01 The Fourth Year Representatives shall:
(a) be voting members of Council and are required to attend all Council meetings,
(b) be a position held by two Association members in their fourth year,
(c) update fourth year students on upcoming events and information discussed at meetings of the Council, as well as other pertinent announcements,
(d) be an active voice for their year to the Association,
(e) act as a resource to all of the members of their year,
(f) organize one (1) fundraising event during the fall semester that would go towards that year’s B.Edder4U gift,
(g) host three (3) year-specific events per semester, which shall cater to diverse social interests.
(h) organize one (1) fundraising event during the winter semester that would go towards their year’s B.Edder4U gift, which can serve as one year specific event.
(i) this fundraising event shall also raise awareness about the B.Edder4U initiative.
3.07 Duties of the Alumni Representative(s)
3.07.01 The Alumni Representative(s) shall:
(a) be a position held by one or two members of the Association following completion of their fourth year,
(b) not be required to attend Association meetings,
(c) not have voting privileges on the Council,
(d) serve for a 5 year term leading up to the class’ next official Class Reunion, 5 years after convocation,
(e) maintain communication with Alumni Representative(s) from other years, CESA’s Vice President (Internal), the Faculty of Education, the Queen’s Student Alumni Association, and/or the Queen’s Alumni Association with the intent of strengthening the Association’s relationship with alumni,
(f) attain updated contact information from members of their year prior to graduation,
(g) continue to revise communication methods to ensure that alumni are receiving pertinent information at all times,
(h) be accessible to classmates in as many ways as possible through initiatives including, but not limited to,
i) holding events and programs other than Reunions, including some broadly based regional programming,
ii) providing information and submit columns for editions of the Alumni Review magazine and other communication vehicles,
iii) returning to campus in the fall for Homecoming,
iv) attending the John Orr Award Dinner in Toronto,
iv) representing their class at Alumni Assembly,
v) establishing an Alumni committee from members of their year to assist in the undertaking of the duties of the Alumni Representative(s).
